📁 Data Management Best Practices

âš ī¸ Critical: Your Data is Your Responsibility

Browser localStorage can be lost if you clear browser data, uninstall your browser, or use a different device. Regular backups are essential.

Backup Strategy

📅 Recommended Backup Schedule:

  • Daily/After Each Session: Export materials you generated today (from Library page)
  • Weekly: Export all patient profiles (from Patients page)
  • Monthly: Export full backup (from Settings page)
  • Before Major Changes: Export before clearing data, changing browsers, or updating your computer

Storage Location Best Practices

✅ RECOMMENDED:

  • Encrypted USB drive - Keep a dedicated, encrypted USB drive for backups
  • Secure network drive - Organization's HIPAA/PIPEDA-compliant network storage
  • Password-protected computer folder - Encrypted folder on your work computer
  • Institutional backup system - Your organization's approved backup solution

❌ AVOID:

  • Consumer cloud storage - Dropbox, Google Drive, iCloud (not HIPAA/PIPEDA compliant without BAA)
  • Email - Don't email backups to yourself (unencrypted, insecure)
  • Shared drives - Don't store on network drives accessible to non-authorized staff
  • Personal devices - Don't store work data on personal computers or phones
  • Unencrypted USB drives - Can be lost or stolen

File Security Checklist

🔒 Before Storing Backups:

  • ☐ Verify files are stored on encrypted storage
  • ☐ Ensure only authorized personnel have access
  • ☐ Use strong passwords/encryption for backup files
  • ☐ Follow your organization's data retention policies
  • ☐ Label external drives clearly (but don't write PHI on labels)
  • ☐ Store backup drives in locked, secure locations
  • ☐ Keep multiple backup copies (3-2-1 rule: 3 copies, 2 different media, 1 offsite)

Recovery Scenarios

🔄 Scenario: Switching Computers

  1. On old computer: Export All Data (Settings page)
  2. Save to encrypted USB drive
  3. On new computer: Open the aphasia therapy site
  4. Settings page → Import Data → Select your backup file
  5. Verify data imported successfully

âš ī¸ Scenario: Accidentally Cleared Browser Data

  1. Locate your most recent backup file
  2. Open the aphasia therapy site
  3. Settings page → Import Data
  4. Select your backup file
  5. Note: You may lose data created since last backup

💾 Scenario: Recovering Individual Materials

  1. Locate the .txt file you saved
  2. Open with any text editor (Notepad, TextEdit, etc.)
  3. Copy and paste content into your document
  4. Or print directly from text editor

File Retention Guidelines

📋 How Long to Keep Files:

  • Patient profiles: As long as you're treating the patient, plus your organization's retention period
  • Generated materials: Follow same retention rules as other therapy materials
  • Full backups: Keep most recent 3-6 months, then archive older backups
  • Consult your organization: Follow your workplace's specific data retention policies

đŸ—‘ī¸ Secure Deletion When Disposing Files:

When you no longer need backup files:

  • Don't just delete files - use secure deletion tools
  • For USB drives: Use secure erase utilities or physically destroy
  • Empty recycling bin/trash after deletion
  • Follow your organization's secure disposal procedures
  • Document deletion according to your retention schedule

Quick Reference Card

🚀 Quick Actions:
