Storage Location Best Practices

RECOMMENDED:
- Encrypted USB drive - Keep a dedicated, encrypted USB drive for backups
- Secure network drive - Organization's HIPAA/PIPEDA-compliant network storage
- Password-protected computer folder - Encrypted folder on your work computer
- Institutional backup system - Your organization's approved backup solution
â AVOID:
- Consumer cloud storage - Dropbox, Google Drive, iCloud (not HIPAA/PIPEDA compliant without BAA)
- Email - Don't email backups to yourself (unencrypted, insecure)
- Shared drives - Don't store on network drives accessible to non-authorized staff
- Personal devices - Don't store work data on personal computers or phones
- Unencrypted USB drives - Can be lost or stolen
File Security Checklist
đ Before Storing Backups:
- â Verify files are stored on encrypted storage
- â Ensure only authorized personnel have access
- â Use strong passwords/encryption for backup files
- â Follow your organization's data retention policies
- â Label external drives clearly (but don't write PHI on labels)
- â Store backup drives in locked, secure locations
- â Keep multiple backup copies (3-2-1 rule: 3 copies, 2 different media, 1 offsite)

- Locate the .txt file you saved
- Open with any text editor (Notepad, TextEdit, etc.)
- Copy and paste content into your document
- Or print directly from text editor
File Retention Guidelines
đ How Long to Keep Files:
- Patient profiles: As long as you're treating the patient, plus your organization's retention period
- Generated materials: Follow same retention rules as other therapy materials
- Full backups: Keep most recent 3-6 months, then archive older backups
- Consult your organization: Follow your workplace's specific data retention policies
đī¸ Secure Deletion When Disposing Files:
When you no longer need backup files:
- Don't just delete files - use secure deletion tools
- For USB drives: Use secure erase utilities or physically destroy
- Empty recycling bin/trash after deletion
- Follow your organization's secure disposal procedures
- Document deletion according to your retention schedule
